Personal Data You Provide to Us

The Personal Data that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The Texas Data Privacy and Security Act (TDPSA) defines personal data as any information that can be linked to an identifiable person, including sensitive data. Information that is not considered personal data includes deidentified data and publicly available information.

Examples of interactions with our Services that may lead to the collection of the types of Personal Data listed above include:

  • Online Leasing. When you submit an online leasing application, we collect information necessary to process your application. This may include, among other things, employment-related data, family-related data, and certain personally identifiable data, such as your drivers license and Social Security Number. Please note, providing this information is required to rent at any of our communities.
  • Account Registration. When you create an account, such as when you access Kairoi Residential’s Investor Portal or other restricted areas of the Services, we collect your name, email address, phone number, general location, and we may collect certain personally identifiable data such as your social security number and account information.
  • Newsletter Sign Up. If you choose to sign-up to receive our newsletters, we will collect your name and email address.
  • Form Submissions and Other Communications. We collect information when you communicate with us, such as when you request additional information about our company and our products and services, contact us about career opportunities, or submit other inquiries using our contact form. Examples of such information include your name, contact data, the date and time of your communications, and the content of your correspondence.
  • Job Applications. If you apply for a job posting, or become an employee, we collect information necessary to process your application or to retain you as an employee. This may include, among other things, employment-related data, education-related data, and your Social Security Number. Please note, providing this information is required for employment.
  • Website Chatbots. If you engage with our virtual AI-powered chatbots, we may collect the information you provide during the chat, including transcripts of your conversation with the chatbot. Data We Collect Automatically

We automatically collect certain information when you visit, use, or navigate the Services. We have not sold any data to third parties for a business or commercial purpose in the preceding twelve (12) months.

How We Protect Data

No method of transmission over the Internet, or method of electronic storage, is fully secure. While we use reasonable efforts to protect your data from unauthorized access, use, or disclosure, we cannot guarantee the security of your data. For Texas residents, we will notify you as quickly as possible, but no later than 60 days after determining that a breach has occurred. In the event that we are required by law to inform you of a breach to your data we may notify you electronically, in writing, or by telephone, if permitted to do so by law.

How Long We Retain Data

We will retain your data only for as long as is necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or allowed by law (such as for tax, accounting, or other legal obligations). Factors that determine our retention periods include:

  • Website Chatbots. Several of our property websites employ AI-powered chatbots to provide instant responses to your inquiries. These chatbots assist with finding property information, scheduling viewings, and answering general questions about our services.
  • Email and Text Responses. We use AI to automate and streamline our email and text communications. This includes responding to your inquiries, sending property alerts, and providing updates on your transactions with us.

Segmentation and Automated Decision Making. We do not use segmentation or automated decision-making without human intervention, including profiling.

How To Exercise Your Rights

  • To exercise your rights, you can contact us by emailing privacy@kairoi.com, or by referring to the contact details at the bottom of this document.
  • Under the TDPSA, you may use an Authorized Agent—a person or entity authorized to act on your behalf—to make a request regarding your data. The Authorized Agent can submit the request by emailing us at privacy@kairoi.com. To verify that an Authorized Agent has the authority to make this request, they must provide us with documentation demonstrating your permission (e.g., Power of Attorney or written, signed authorization).
  • If we decline to take action in any request that you submit in connection with the rights described in this section or elsewhere in this Privacy Policy, you may ask that we reconsider our response by sending an email to privacy@kairoi.com. You must ask us to reconsider our decision within 45 days after we send you our decision. We will respond to your appeal in accordance with the timeline set forth in the TDPSA.

Children’s Privacy

Our Services are not intended for or directed to children under the age of 18 and we do not knowingly collect personal data from children under the age of 18. If you are under 18, please do not use online leasing, job application and contact form submissions or send any personally identifiable information to us. If we learn that we have collected personally identifiable data from anyone under age 18, we will delete that data as quickly as possible. For your convenience, we may provide links to websites and other third-party content that we do not own or operate. The websites and third-party content to which we link may have separate privacy notices or policies. Changes to Our Privacy Policy

We may update our Privacy Policy from time to time. When we update our Privacy Policy, we will take appropriate measures to inform you, consistent with the significance of the changes we make.
